How does an AI receptionist work?

An AI receptionist answers the phone, talks with the caller and then does a few set jobs: takes a message, books a visit or alerts a person. It should work from facts you wrote down, and it can book only into a calendar it can actually see. To do that it usually needs your calls sent to it, your job types and time slots, an on-call list and a place for each lead to land.

Why booking needs real availability

A receptionist that cannot see your calendar can only take a request, such as a preferred time of Tuesday afternoon, for a person to confirm. One that can see open times can offer a slot and write the appointment in, but only as well as the calendar is kept. Failures often come from a calendar nobody updates.

So it needs the same rules a booking tool needs, which the related answer on online booking or scheduling software covers (job lengths, travel time, booking pages versus crew scheduling). Jobs that do not fit a set length are often better left as a request. The related answer on how an AI system connects to the tools you already use covers plan limits and read-only access.

What happens when the call ends

What is new for a receptionist is a record of what it did on the call, kept with your other leads. Have a person read its summaries. The related answer on tracking phone call leads covers what to write down, and the related answer on which calls an AI receptionist should take covers on-call lists and hand-off rules.

Before you switch it on

  • As general advice, tell callers at the start that it is an automated system; the related answer on whether you have to tell customers you use AI covers one state's rule and does not say what other states require.
  • Record calls only with the caller's consent, and check the tool's recording setting, as the related answer on consent to record customer calls explains.
  • Keep the number on an account in the business's name; see the related answer on who should own your business phone number.
  • Any callback or text goes out only with the person's consent.
