How does an AI system connect to the tools you already use?
Usually by you giving it permission to use an account you already have. Email, calendars, forms, spreadsheets, customer records, accounting and job software can often be connected, but it depends on the tool and your plan. Before you agree, check that your plan allows outside connections, that the account is in your name, what information goes where, and how you switch the connection off yourself.
Which tools can usually be connected
Many tools in these groups offer a way to connect, though what is allowed varies by product and by plan. Some older or very small tools offer no connection at all, so ask before assuming.
| Tool | What an AI system might do with it | Worth asking |
|---|---|---|
| Sort messages and draft replies for you to approve | Can it only read, or can it also send? | |
| Calendar | Check free times and propose bookings | Whose calendar, and can it change entries? |
| Web forms | Receive new inquiries and pass them on | Does every form reach it? |
| Spreadsheets | Read a price list or add rows to a lead list | Which sheets can it see? |
| CRM | Look up or update customer records | Can it edit or delete records? |
| Accounting | Read invoices and balances for a report | Is view-only access available? |
| Job software | Look up jobs, schedules and status | Does your plan allow outside connections? |
Four things to check before you connect it
- Does your plan allow it? Some tools limit outside connections to certain plans or can charge extra for them. The tool's help pages or its support team can tell you.
- Who owns the login? Use an account in your name.
- What can it reach? Ask for the narrowest access that does the job, such as view-only on the accounting tool.
- Can you switch it off yourself? Check that you can disconnect it in the tool's own settings.
Start small and keep a list
Try the connection on a copy or a small part first, such as one calendar or a test spreadsheet, and widen it one step at a time. Read-only access is a sensible place to begin.
Keep a short list of every connection: the tool, whose login it uses, what it can do and the date it was connected. When you want to switch something off, or change who works for you, the list shows you what to disconnect.
