How do you track leads that come in by phone?
Write down every call that is a new inquiry in the same place as your other leads, with who called, what they wanted, where they heard about you and what happened next. Ask "how did you hear about us?" on every call and write the answer down at the time. For a small business, a consistent habit is a good start. If you record calls, get the caller's consent first.
What to record for each call
- Date and time.
- Who called and how to reach them.
- What they need.
- Where they heard about you, in their words.
- The outcome: won, lost or still open, and whether it was a good fit.
Asking where they heard about you
Ask early, in a natural way: "Before I forget, how did you find us?" Write down the exact answer, then sort it into a channel later: search, AI answer, social, referral, paid, email, campaign or direct (a returning customer counts as direct). Customers do not always remember precisely, so treat the answer as a good guide, not proof.
Stop losing calls
- Return missed calls the same day; a caller who cannot reach you may try someone else.
- Use a voicemail message that says when you will call back.
- Keep calls and form inquiries in one list, so nothing is counted twice or missed.
- Review the list each month next to your other leads.
