Can AI do your bookkeeping?

AI can help with bookkeeping chores: suggesting a category for each transaction, matching receipts to payments, reading invoices into records and summarizing a month. A person or your accountant should still check the suggestions and own the books, because a suggestion can be wrong and still look certain. Financial details are sensitive, so learn where a tool sends them first, and test it on a past month. This is general advice, not tax advice.

What AI can help with

Treat each of these as a suggestion for a person to accept or fix, not a finished entry:

  • Labeling transactions with a likely category.
  • Matching a receipt or invoice to the payment it belongs to.
  • Reading an invoice or receipt into the fields of a record.
  • Summarizing a month in plain words: money in, money out, what is still owed.
  • Pointing out items that look odd, such as a possible duplicate.

What a person must still decide

A person, or your accountant, should decide anything that needs judgment: whether an item is personal or for the business, how to treat an unusual payment, and anything that touches taxes. Keep the original documents. The IRS's recordkeeping page (last reviewed 2026-05-01) says a business's transactions generate supporting documents, and that these contain information you need to record in your books. As general advice, a tool that reads a receipt does not replace the receipt. This is a plain summary, not legal advice, and it is not tax advice. What your business needs to keep is a question for your accountant.

Why financial details are sensitive

Bank statements and invoices hold account numbers, customer names and amounts. The related answer on what to ask before hiring someone to build AI lists the questions about where data goes, and the related answer on putting customer information into ChatGPT lists what to keep out of a chat tool. Ask your accountant which tools they accept before you change how records reach them.

A safe trial on a past month

  • Pick a month whose books are finished and checked.
  • Give the tool that month's transactions and receipts, without the finished books.
  • Compare its work with the finished books and list every difference by type.
  • Judge the tool by what it got wrong, and whether you would have caught each error.
  • If it passes, try it on the current month with a person reviewing every entry, and keep the old way running alongside at first.
